    Austin Industrial, Inc. is a leading General Contractor that provides construction, maintenance, turnaround, specialty, and plant services within the oil, gas, chemical, power and manufacturing industries.  We are currently seeking an experienced Administrative Assistant. The successful candidate will provide administrative support by managing company cell phones, serve as main point of contact for office headquarters, coordinate and arrange travel, and provide back up to the front desk.  This position is a critical, high-visibility position that will promote teamwork by encouraging communication and superior quality of work.  The Administrative Assistant will be able to complete projects timely and in coordination with other team members as required, follow up on all work with weekly update of tasks and ongoing projects.

    This position will be based at our La Porte, TX corporate office.


    • Manage company cell phones to include but not limited to ordering and activating new phones, troubleshoot, and provide customer service to all employee owners who need cell phone assistance, code, and analyze monthly bill.  Will work closely with Accounting Department to ensure billing and coding are correct.
    • Coordinate and arrange travel for corporate management team. Will work closely with team to ensure travel arrangements are coordinated and reserved.
    • Serve as main point-of-contact for building maintenance requests and various building vendors while working with the Building Committee to ensure the building is properly maintained.
    • Provide back up to switchboard/front desk for daily breaks, lunches, sick leave, and vacation. Includes assistance with conference room and conference call scheduling.
    • May greet scheduled visitors and direct to appropriate area or person.
    • Coordinate and arrange meetings as requested to include preparing agendas, sending out meeting invitations, reserving and preparing facilities and resources (which may include ordering food and setting up beverages) and clean up, etc.
    • Compose, edit and/or proof letters, memos, reports, etc., as needed.
    • Assist with presentations and reports.
    • Provide back-up to Assistants in the Executive area as needed and during, but not limited to, the following:
      • Handle conference/event registration as necessary
      • High level customer meetings
      • Strategic Planning (Annually)
      • Strategic Roll Out (Annually)
      • EO Meetings (Bi-Annually)
      • PIC Meetings (Monthly)
      • Review Expense Reports ensuring compliance with corporate policy


    Education and Experience:

    • Associate’s Degree or some college strongly preferred and 2+ years of related experience working as an Administrative Assistant to executives or administrators.
    • Ability to maintain strict confidentiality.
    • Intermediate skill level in all Microsoft applications; i.e. Word, Excel, PowerPoint, and Outlook.
    • Proficiency with standard office equipment, e.g. copier, fax, printer, and scanner.
    • Basic knowledge of scribing and preparing meeting minutes.
    • Must be dependable, timely, and flexible.
    • Strong organizational, time management skills and ability to pay close attention to details in a fast-paced environment while managing multiple issues/projects.
    • Excellent communication skills, both written and verbal.
    • Self-directed, poised, and project a professional appearance and demeanor.
