    Austin Industrial, Inc. is a leading General Contractor that provides construction, maintenance, turnaround, speciality and plant services within the oil, gas, chemical, power and manufacturing industries.  We are currently seeking an experienced Operations Assistant. The successful candidate will possess structure, attention to detail, quality focus, high energy and flexibility to a high-paced, deadline–driven organization. The Operations Assistant also possesses the following attributes: the ability to exercise good judgement in a variety of situations, strong verbal and written communication, administrative and organizational skills, ability to multi task, and maintain a realistic balance among multiple priorities. 

    Position is based in the La Porte, TX corporate office.


    • Coordinates and arranges detailed travel plans for management and other staff as needed
    • Responsible for the coordination and expense management of all meeting related lunch events required by staff.
    • Manages the schedule for all key customer performance reviews
    • Develops presentation documents for quarterly reviews
    • Processes expense reports for staff
    • Manages calendar for GC Manager
    • Manages the agenda development and supports the site manager meetings
    • Orders office supply equipment for staff
    • Coordinates the on-boarding for new employees
    • Schedules and coordinates interviews for candidates
    • Manages the action plan updates for customer Steering teams.
    • Supports the organization of all weekly and monthly site manager reports
    • Develops slide deck for monthly presentations
    • Creates and manages changes to the GC and SE maintenance OVHD allocations
    • Manages the update of the database for the Maintenance business organization
    • Assists in the preparation of cost reports for financial reviews
    • Manages the update of the Maintenance revenue forecast reports
    • Supports the documentation and reporting of customer contract requirements
    • Manages the Gulf Coast Steering team deliverables required by OPS leadership

    • Associate’s degree in business, accounting, or related field combined with 10 years minimum work experience or Bachelor’s degree with 5 years minimum work experience strongly preferred.
    • Possess minimum of 5 - 10 years of experience as an Administrative Assistant or higher including demonstrated experience supporting executive level and/or C-level suite.
    • Certified Administrative Professional (CAP), Organizational Management (OM), Technology Application (TA) or similar training /certification preferred.
    • Oil and Gas industry experience a plus.
    • Experience with building management a plus but not required.
    • Ability to exercise and maintain absolute discretion in dealing with confidential or sensitive matters at all times.
    • Ability to prioritize and manage workload amid conflicting demands and busy work periods while being proactive in identifying areas of support that are applicable to internal and external customer needs.
    • Ability to work under pressure.
    • Ability to be flexible and work as part of a team during peak times.
    • Ability to develop and maintain working relationships at all levels, including difficult or challenging circumstances.
    • Proficiency in executive level meeting organization, preparation, minutes, and action item follow tracking.
    • Must be detail oriented, have the ability to work with limited direction, have exemplary organizational, communication, and teamwork skills.
    • Proficiency in all Microsoft Office applications including Word, Excel, PowerPoint, Outlook, and Adobe.
