    Austin Industrial, Inc. is a leading General Contractor that provides construction, maintenance, turnaround and plant services within the oil, gas, chemical, power and manufacturing industries.  We are currently seeking an experienced Small Project Administrator.  Responsible for organizing and controlling all administrative functions including but not limited to timekeeping, personnel records, personnel requisition, purchasing, accounts payable, accounts receivable and other related activities.

     

    This position will be based in our La Porte corporate office. 

    Responsibilities

    • Direct and maintain the preparation of accounts payable, accounts receivable and equipment rental functions 
    • Make expendable material purchases as required and provide receiving of materials either directly or through subordinates 
    • Prepare weekly timekeeping and verify time reports to ensure accuracy 
    • Prepare controls and merge with other data required for preparation of payrolls 
    • Prepare control documents for use in reconciling one or more of the following:  payroll, payables and receivables transactions 
    • Prepare or direct the preparation of pay estimates, cost reports, etc.  
    • Prepare daily, weekly, monthly, quarterly, and annual closing statements, reports and invoices 
    • Responsible for new employee sign ups, basic personnel administration activities and general administration 
    • Responsible for monitoring subcontractor cost and issuance of back charges 
    • Perform additional assignments per supervisor’s direction
    • Administer company policies and procedures
    • Manage internal and external audits 

     

    Qualifications

    Experience:

    • 5+ years direct experience in timekeeping, accounts payable and accounts receivable.

    Knowledge, Skills and Abilities:

    • Working knowledge of project accounting as well as administration procedures and techniques.
    • Proficient in Microsoft Word, Excel, Access and Outlook. 
    • Experience with Viewpoint software beneficial.  FRC understanding a plus.
    • Excellent communication skills when interacting with all levels of the organization.
    • Strong organization skills; ability to manage multiple priorities in a fast pace work environment.
