Overview

Austin Industrial is a leading General Contractor that provides construction, maintenance, turnaround and plant services within the oil, gas, chemical, power, and manufacturing industries. We are currently seeking an experienced Office Administrator located in Artesia, New Mexico. This position is responsible for maintaining all administrative functions in the field office including but not limited to personnel records, timekeeping, purchasing, accounts payable and other related activities.

 

This position is a full time opportunity and is based at an oil refinery.  This positions reports to the Site Manager and the Director of Field Administration at the corporate office.

Responsibilities

Essential Duties and Responsibilities:

 

  • Act as site office facilitator; partner with local employment organizations for periodic hiring needs, assist in screening resumes, scheduling interviews and onboarding activities for new site personnel.
  • Coordinate pre-employment drug screens.
  • Issue employee badges, PPE and related equipment.
  • Track all equipment provided to site personnel.
  • Responsible for new employee paperwork and basic personnel administration activities.
  • Support Safety representative with weekly orientation course and required training documentation as needed.
  • Maintain site absenteeism, meeting minutes, catering activities, fuel and cell phone costs tracking.
  • Research pricing information required for PO’s related to furniture, equipment and materials needed.
  • Code and track AP invoices according to contract specifications and submit to corporate office for timely payment.
  • General office support such as answer phones, mail distribution, and maintain filing system.
  • Perform additional assignments per supervisor’s direction.

Qualifications

Education and Experience:

 

  • High School Diploma
  • Minimum of 2 years direct experience in administrative role. Prior Safety experience helpful.
  • Experience in a refinery / plant environment preferred.
  • Proficiency using Microsoft Word, Excel and Outlook.  Viewpoint knowledge a plus.
  • Ability to work independently and utilize time management skills.
  • Strong written and oral communication skills with a demonstrated ability to communicate effectively with all levels of the organization.
  • Track experience a plus.
