Overview

Austin Industrial, Inc. is a leading General Contractor that provides construction, maintenance, turnaround and plant services within the oil, gas, chemical, power, and manufacturing industries.  We are currently seeking an experienced Field Administration Manager. This position is responsible for setup, coordination and reporting of project administrative functions.  Ensure field administrative processes and procedures are established and administered in compliance with contracts and Austin Industrial Project Administration Policies and Procedures. 

 

This position is based in the La Porte, TX corporate office.

Responsibilities

Supervisory Responsibilities

Directs other field and home office employee-owner work processes as they relate to project administration.  May have direct reports in both the field and home office.

 

Essential Duties and Responsibilities

  • Provide field administration personnel training and support in relation to the execution of Austin policy and procedures.
  • Provide field administration personnel training and support regarding contract specific requirements.
  • Manage field office work processes to ensure work is being completed timely and accurately.
  • Develop understanding of contract documents and apply knowledge to create accurate job cost and billing processes.
  • Direct account receivable processes to ensure payments are received and applied promptly as well as accurately.
  • Perform scheduled internal contract compliance audits and report findings to management.
  • Participate in the execution of accounting and administrative implementation plans for new contracts.
  • Participate in all accounting and administrative closeout procedures for terminated contracts.
  • Monitor reconciliation of all reconcilable transactions and direct customer correspondence as required.
  • Represent company and manage its interests in all customer contract audits.
  • Identify risks and establish mitigation plans for expiring maintenance contracts.
  • Provide project and customer system support as needed.
  • Complete special projects and report findings to executive management.
  • Travel required (10%-20%).

 

Qualifications

  • Bachelor's degree in business administration, related business degree or equivalent combinations of training and experience.
  • 2+ years of direct project administration experience including field payroll, accounts payable, billing and reporting.
  • Display the ability to take complex issues and develop workable solutions.
  • Excellent communication skills with good knowledge of construction terminology.
  • Ability to display good working knowledge of Microsoft Office applications and other automation tools.
  • Vista Viewpoint, Track, SAP, AES knowledge a plus.
